Learn in 7 actions or steps to manage projects like an expert
Although the management of a personal project is not the same as the management of a professional one, we know that there are 7 actions or steps that are repeated in all projects, regardless of the class or scope from which they come. We tell you the detail so that you know how to manage projects like an expert:
1- Determine the objective
The first thing you have to do before you start is determine what the goal is to achieve. Define it clearly and keep it always in mind throughout the project management. It will be your guide in making decisions to know the best way to continue.
2- Organize the project in different stages
This is the time to start the plan to achieve the goal. Organize, plan and divide the project into different stages. Analyze your current situation and detect the needs and problems that may appear.
To exemplify the division of stages, we think of a personal project of carrying out a trip. This case could be divided into at least three phases: Planning, Realization and Post-trip Documentation.
3- Estimate the dates
Once the project phases are defined, you need to estimate the start and expiration dates of each one. This will give you a global vision of how long the project will take and how long it will take to execute.
When you have created the tasks that you must complete, you will also have to assign the corresponding dates.
4- Register the tasks
The next action is to create a series of tasks within each stage, considering who are the participants in the project. Here you can take care of investigating the questions that you have to solve.
Of each task, it is quite likely that you open one or more related subtasks. Usually this happens when there are multiple steps within a task.
5- Prioritize critical or higher risk tasks
To confirm the order of execution of the tasks, we advise you to specify which are the critical or higher risk tasks and highlight them with a label or a priority number. In this way, you will find them quickly and you can go to them to solve them first.
6- Assign the tasks to the responsible
Once the priorities have been defined, as a project manager, you will have to review the list of members to assign a person in charge of each task. If it’s a personal project, it may be about your family members. And, in the case of a work project, you will choose between the professionals of your work team or suppliers who are collaborating with you.
7- Make the necessary monitoring and control
During the entire project, you will have to carry out the fundamental follow-up to control that both you and your team are progressing correctly. This is an obligatory step to make sure you meet the scheduled times for the completion of the project.
